Shipping & Delivery Policy

Overview

Woodhouse HVAC Supplies Ltd operates as a supply-only business. We arrange delivery services on behalf of Customers where requested; however, all goods are sold in accordance with the agreed Incoterms and contract of sale.

Incoterms

Unless otherwise agreed in writing, all orders are supplied under EXW (Ex Works) – Woodhouse HVAC Supplies Ltd.

Under EXW terms, responsibility for the goods transfers to the Customer once the goods are made available for collection or handed to the nominated carrier.

Delivery Services

Where Woodhouse HVAC Supplies Ltd arranges carriage on behalf of the Customer:

  • Delivery costs will be quoted separately or included within the sales quotation
  • Delivery dates are estimates only
  • Transit times vary and are not guaranteed

Shipping Confirmation

Final shipping costs will be confirmed once the parcel has been packaged and the packing slip has been provided. Transit times vary.

USA to UK Shipments

Shipping prices for consignments from the USA to the UK can only be confirmed upon receipt of your order and after items have been packed. This is due to our suppliers’ specific methods of packaging.

This process may result in an adjustment to the quoted shipping cost and may require an uplift to your Purchase Order.

Shipping charges must be paid in full before parts or units are collected from the USA.

Bard Export & USA Compliance

Certain products sourced from Bard Manufacturing Company are subject to United States Export Regulations and Internal Compliance Policies.

Bard Manufacturing Company requires that the Sold To and Ship To parties listed on the legal contract (Purchase Order) must be the same entity.

As a result:

  • Bard products purchased by Woodhouse HVAC Supplies Ltd must be delivered to Woodhouse HVAC Supplies Ltd in the United Kingdom
  • Bard cannot drop ship goods directly to third-party locations
  • This requirement is mandated by Bard’s compliance obligations and is non-negotiable

Customers acknowledge that this may affect logistics arrangements, delivery times, and shipping costs.

Delivery Timeframes

Estimated delivery times vary depending on product availability, manufacturer lead times, customs clearance, and destination.

Any stated delivery timeframe is an estimate only and shall not be considered a contractual guarantee.

Delays

Woodhouse HVAC Supplies Ltd shall not be liable for delivery delays caused by:

  • Carrier or courier delays
  • Customs clearance processes
  • Port congestion or transport disruption
  • Manufacturer production delays
  • Events outside our reasonable control

Risk & Responsibility

Risk in the goods transfers in accordance with the agreed Incoterms.

Customers are responsible for ensuring suitable access, unloading facilities, lifting equipment, and safe receipt of goods.

Inspection on Delivery

Customers must inspect goods upon delivery.

  • Shortages must be reported within 48 hours
  • Visible damage must be recorded with the carrier at delivery
  • Claims should be supported with photographs

International Shipments

For international deliveries, the Customer is responsible for:

  • Import duties and taxes
  • Customs clearance
  • Compliance with local regulations
  • Required certification unless otherwise agreed

Unloading

Deliveries are made to kerbside unless otherwise agreed. Customers are responsible for unloading.

Storage & Redelivery

Storage and redelivery charges may apply where delivery cannot be completed.
